Payment Statuses

Every booking in Eventixa includes a Payment Status that reflects the current state of the payment. Payment statuses help administrators quickly determine whether a booking has been paid, is awaiting payment, has failed, or has been refunded.

Payment statuses are automatically managed for online payment gateways such as Stripe and PayPal, while Offline Payments can be updated manually by an administrator after payment has been received.

Payment status works alongside Booking Status, ensuring the booking, attendee registrations, and payment information remain synchronized.

Available Payment Statuses

Eventixa supports the following payment statuses:

Payment StatusDescription
PendingPayment has not yet been completed or confirmed.
ProcessingPayment has been initiated and is currently being processed.
PaidPayment has been successfully received.
FailedThe payment attempt was unsuccessful.
CancelledThe payment was cancelled before completion.
RefundedThe booking has been marked as refunded.

These statuses are displayed in the Bookings list and on the Booking Details page.

Pending

The Pending status indicates that payment has not yet been successfully completed.

This status commonly occurs when:

  • An Offline Payment booking is created.
  • A customer has not completed the payment process.
  • Payment is awaiting manual confirmation.

Processing

The Processing status indicates that the payment has been initiated and is awaiting confirmation from the payment provider.

This status is typically temporary and is managed automatically by supported payment gateways.

Payment Status → Processing

Once the payment is confirmed, the status changes automatically to Paid.

Paid

The Paid status confirms that payment has been successfully received.

When a payment becomes Paid, Eventixa automatically:

  • Confirms the payment.
  • Completes the booking.
  • Registers attendees.
  • Updates ticket availability.
  • Records the payment history.
  • Sends payment and booking confirmation emails (if enabled).

Failed

The Failed status indicates that the payment attempt could not be completed.

Possible reasons include:

  • Card declined.
  • Payment authorization failed.
  • Customer abandoned the payment process.
  • Gateway processing error.

Bookings with a Failed payment remain incomplete until a successful payment is received.

Cancelled

The Cancelled status indicates that the payment was cancelled before it was successfully completed.

Examples include:

  • Customer cancelled payment on the payment gateway.
  • Administrator cancelled the booking before payment completion.

Cancelled payments do not confirm attendee registrations.

Refunded

The Refunded status indicates that the booking has been refunded.

When a booking is marked as Refunded, Eventixa:

  • Updates the payment status.
  • Updates the booking record.
  • Records the action in Booking Notes.
  • Can trigger refund notification emails (if enabled).

Important: Updating the payment status to Refunded does not issue a refund through Stripe, PayPal, or any other payment gateway. Refunds must be processed directly through the payment provider before updating the booking in Eventixa.

A typical successful payment progresses through the following lifecycle:

The actual path depends on the payment method and customer actions.

Payment Status by Gateway

Stripe

Stripe manages payment statuses automatically.

Typical flow:

Administrators should not manually modify payment statuses for Stripe transactions.

PayPal

PayPal also updates payment statuses automatically after the customer completes or cancels the payment.

Typical outcomes:

  • Pending → Paid
  • Pending → Cancelled
  • Pending → Failed

Offline Payment

Offline Payments require administrator confirmation.

Typical flow:

If payment is never received, the booking may instead be cancelled.

Relationship with Booking Status

Payment Status and Booking Status are related but serve different purposes.

  • Payment Status indicates the financial state of the booking.
  • Booking Status indicates the overall registration lifecycle.

Viewing Payment Status

Payment Status is displayed in:

  • Tickets → Bookings
  • Booking Details
  • Payment-related email notifications
  • Booking records and history

This allows administrators to monitor payment progress from a central location.

Booking Notes Integration

Whenever a payment status changes, Eventixa automatically records the activity in the booking history.

Examples include:

  • Payment status changed from Pending to Paid
  • Payment marked as Refunded
  • Payment cancelled

These entries provide a complete audit trail for each booking.

Email Notifications

Payment status changes can trigger email notifications depending on your email configuration.

Examples include:

  • Payment Confirmation
  • Booking Confirmation
  • Booking Refunded

Email templates can be managed from:

Eventixa → Settings → Emails

Best Practices

  • Monitor bookings with a Pending payment status and follow up when necessary.
  • Use Offline Payments only when your organization has a process for manually verifying payments.
  • Avoid manually changing payment statuses for Stripe and PayPal transactions, as these are synchronized automatically.
  • Process refunds through the payment provider before updating the booking to Refunded in Eventixa.
  • Regularly review payment status history and booking notes to maintain accurate financial records.

  • Online gateways such as Stripe and PayPal synchronize payment statuses automatically, while Offline Payments rely on administrator confirmation.
  • Payment status changes are logged in Booking Notes, creating a complete history of payment activity for each booking.
  • Together with Booking Status, Payment Status helps ensure bookings, attendees, ticket inventory, and email notifications remain synchronized throughout the registration lifecycle.
