Eventixa Pro integrates with Google Meet through Google Calendar so you can create, link, synchronize, disconnect, replace, and delete managed Google Meet sessions directly from your Eventixa workflow.

The integration supports both single and recurring Virtual or Hybrid events, including one shared meeting for the entire recurring series or separate Google Meet sessions for individual occurrences.

Available in: Eventixa Pro
Connection Settings: Eventixa → Settings → Integrations → Meetings
Event Settings: Eventixa → Events → Add/Edit Event → Location & Virtual
Authentication: Google OAuth 2.0

What Does the Google Meet Integration Do?

The Google Meet integration connects Eventixa to Google Calendar.

Eventixa creates a Google Calendar event and requests a Google Meet conference for that calendar event.

Once created or linked, Eventixa can manage the relationship between the Eventixa event, Google Calendar event, and Google Meet join link.

Google Meet Requires Eventixa Pro

Managed Google Meet integration requires Eventixa Pro.

Eventixa Core supports Virtual and Hybrid events with Custom Meeting URL, while Eventixa Pro adds managed Google Meet and Zoom providers.

How Google Meet Works with Google Calendar

Google Meet sessions are created through Google Calendar rather than through a separate standalone Meet API workflow.

Eventixa therefore needs access to Google Calendar so it can create, read, update, and delete the calendar event that contains the Google Meet conference.

Open Google Meet Connection Settings

Go to Eventixa → Settings → Integrations → Meetings.

Locate the Google Meet card.

The card displays the current connection status and lets you configure Google OAuth credentials.

Eventixa Google Meet OAuth settings showing Client ID Client Secret redirect URI required scopes and connection status
Connect Eventixa to Google using OAuth 2.0, the displayed redirect URI, and the required Google Calendar scopes.

Configure Google Meet

If Google Meet is not connected, select Configure Google Meet.

The Google Meet configuration section is labeled Google OAuth 2.0.

It explains that you need to create a Web application OAuth client in Google Cloud, enable the Google Calendar API, and add the Eventixa redirect URI.

Open Google Cloud

Select Open Google Cloud to open the Google Cloud credentials area in a new browser tab.

Use Google Cloud to create the OAuth 2.0 credentials required by Eventixa.

Create a Google OAuth Web Application

Create an OAuth client using the Web application type.

Eventixa requires:

  • Client ID
  • Client Secret
  • Authorized redirect URI

The redirect URI must match the value displayed by Eventixa.

Client ID

Enter the Google OAuth Client ID from your Google Cloud Web application.

Client Secret

Enter the Google OAuth Client Secret.

The Client Secret is sensitive and should never be exposed publicly.

After it has been saved, Eventixa leaves the field blank and displays a placeholder indicating that you can leave it empty to keep the existing secret.

Authorized Redirect URI

Eventixa displays an Authorized redirect URI in the Google Meet settings.

Copy this exact URI and add it to the Authorized redirect URIs of the Google OAuth Web application.

A mismatched redirect URI prevents Google authorization from completing successfully.

Copy Redirect URI

Use the Copy button beside the Authorized redirect URI to copy it accurately.

Avoid manually retyping the URI because even a small difference can break OAuth authorization.

Required Google Scopes

The current Google Meet integration requires these Google OAuth scopes:

https://www.googleapis.com/auth/calendar.events

https://www.googleapis.com/auth/calendar.calendarlist.readonly

The first scope allows Eventixa to manage Google Calendar events.

The second allows Eventixa to read available calendars so you can choose a suitable calendar for Google Meet.

Enable the Google Calendar API

The Google Calendar API must be enabled for the Google Cloud project used by the OAuth client.

Without the Calendar API, Eventixa cannot create or manage Google Calendar events and Meet conferences.

Connect Google

After entering the Client ID and Client Secret, select Connect Google.

Eventixa begins the Google OAuth authorization process and redirects you to Google.

Sign in with the Google account you want Eventixa to use and approve the requested permissions.

Successful Authorization

After Google authorization succeeds, Eventixa verifies the connection and returns you to the Meetings settings screen.

A successful connection displays Google connection verified together with the connected account email.

Save & Reauthorize

If Google Meet is already connected and you change the credentials, the button becomes Save & reauthorize.

Use this when you need to update the OAuth client or reconnect the Google account.

Test Connection

After Google Meet is connected, select Test connection.

Eventixa verifies that the saved authorization can still access Google Calendar.

Disconnect Google Meet

Select Disconnect when you want to remove the global Google Meet connection from Eventixa.

Eventixa asks for confirmation before disconnecting.

Disconnecting Does Not Delete Existing Google Events

Disconnecting the global Google Meet account does not delete existing Google Calendar events or their Meet conferences.

The remote Google data remains in the connected Google account.

Select a Google Calendar

After authorization, Eventixa loads writable calendars that support Google Meet conferencing.

A Calendar for Google Meet selector appears when suitable calendars are available.

Choose the calendar Eventixa should use when creating managed Google Meet sessions.

Save the Selected Calendar

After selecting a calendar, click Save calendar.

Eventixa stores that calendar as the default calendar for managed Google Meet creation.

Which Calendars Are Available?

Eventixa only lists calendars that are writable and advertise support for Google Meet conference creation.

Read-only calendars or calendars that cannot create Google Meet conferences are not shown.

No Suitable Calendar Found

If Google connects successfully but Eventixa cannot find a writable Meet-capable calendar, the integration reports that no suitable calendar is available.

Verify the Google account, Calendar permissions, and available calendars before trying again.

Configure a Google Meet Event

After connecting Google Meet, create or edit an Eventixa event.

Set the event format to Virtual or Hybrid, then select Google Meet as the meeting provider under Location & Virtual.

Save the Event Before Managing the Meeting

Publish or update the event before creating or linking a managed Google Meet session.

Eventixa needs the saved event date, time, recurrence, and provider configuration before it can build the Google Calendar event correctly.

Create a New Google Meet Session

When Google Meet is selected and no managed meeting is linked, Eventixa lets you create a new Google Meet session.

Eventixa creates a Google Calendar event in the selected calendar and requests a Google Meet conference for it.

Information Used to Create Google Meet

Eventixa builds the Google Calendar event from the current Eventixa event.

The request uses information such as:

  • Event title
  • Event description or excerpt
  • Start date and time
  • End date and time
  • Calculated duration

Event Title

The Eventixa event title becomes the topic or summary used for the Google Calendar event.

Event Description

Eventixa uses the event excerpt or content as the meeting agenda after removing HTML markup.

Event Timing

Eventixa converts the saved Eventixa event timing into the format required for Google Calendar.

The meeting request is generated in UTC for API synchronization.

All-Day Events

If an Eventixa event is all day and no explicit meeting time is available, Eventixa uses fallback timing when creating the managed Google Calendar event.

This allows Google Meet generation to remain valid even when the Eventixa event itself is configured as all day.

Meeting Duration

Eventixa calculates the duration from the event start and end times.

The generated duration is constrained to a valid range for the managed meeting request.

Google Meet Link Generation

Google Calendar can sometimes create the calendar event before the Meet conference link has finished generating.

When this happens, Eventixa can display a message such as Google Calendar event created. Google is still generating the Meet link; use Refresh Meet Link in a moment.

Refresh Meet Link

Use Refresh Meet Link when the Google Calendar event exists but the Google Meet join URL is still pending.

Eventixa reloads the remote Google Calendar event and updates the local meeting reference when Google has generated the Meet conference.

Google Meet Created Successfully

When Google returns a valid conference link immediately, Eventixa displays Google Meet created and linked to this Eventixa event.

Link an Existing Google Calendar Event

You can also link an existing Google Calendar event that already contains a Google Meet conference.

Enter either:

  • Google Calendar event ID
  • Google Calendar event URL

Then use the link action in the event meeting controls.

Existing Event Must Contain Google Meet

The selected Google Calendar event must actually contain a Google Meet conference.

If the Calendar event has no Meet conference, Eventixa cannot use it as a managed Google Meet session.

Wrong Conference Type

Eventixa also verifies that the conference associated with the Google Calendar event is Google Meet.

A Calendar event using another conference provider cannot be linked as a Google Meet session.

Existing Calendar Event Must Be Accessible

The connected Google account must have access to the Google Calendar event.

If the connected account cannot read it, Eventixa cannot link or manage it.

Linked Google Meet

After linking succeeds, Eventixa stores the Google Calendar event reference and Google Meet join URL.

The managed meeting can then be synchronized, refreshed, replaced, disconnected, or deleted.

Sync Meeting

Use Sync Meeting when Eventixa event information changes and you want to update the associated Google Calendar event.

Eventixa can synchronize changes such as:

  • Event title
  • Start time
  • Duration
  • Description

Automatic Sync After Event Save

For shared or single managed Google Meet sessions, Eventixa also tracks the meeting request data when the event is saved.

If the relevant event information changes, Eventixa attempts to update the linked Google Calendar event automatically after the event save.

Sync Failure

If the Eventixa event saves successfully but Google synchronization fails, Eventixa preserves the event save and shows an admin notice explaining that the linked Google Meet could not be synchronized.

This prevents a remote API problem from discarding the local Eventixa event changes.

Refresh vs Sync

Refresh Meet Link reads the current Google Calendar event and updates Eventixa’s stored meeting information.

Sync Meeting sends the current Eventixa event information to Google Calendar.

Use Refresh when Google has changed or conference generation is pending, and use Sync when Eventixa event details have changed.

Replace a Google Meet Session

Use Replace when you want to unlink the current Google Meet and then create or link another one.

The old Google Calendar event remains unchanged.

Disconnect a Google Meet Session

Use Disconnect to remove the relationship between the Eventixa event and the managed Google Meet session.

The Google Calendar event and Meet conference remain in Google.

Delete from Google

Use the delete action when you want Eventixa to delete the linked Google Calendar event from Google.

Deleting the Calendar event also removes the Google Meet conference associated with it.

This action is destructive.

Missing Google Calendar Event

If the linked Google Calendar event has already been deleted directly in Google, Eventixa detects the missing remote record.

Eventixa then removes the stale local meeting reference so you can create or link another session.

Attendee Join URL

Eventixa stores the Google Meet attendee join URL returned through the Google Calendar conference information.

This join URL becomes part of Eventixa’s Virtual Event access workflow.

Virtual Event Access

The Google Meet link is not intended to be displayed publicly without access control.

Eventixa determines when eligible attendees can view the meeting information through its Virtual Event access rules.

For complete access behavior, see the Virtual Event Access documentation.

Single Events

For a normal single event, you can create one Google Meet session or link one existing Google Calendar event containing a Meet conference.

The meeting remains associated with the Eventixa event until it is replaced, disconnected, or deleted.

Recurring Google Meet Events

Recurring Eventixa events provide a Recurring Meeting Schedule setting.

Available modes are:

  • Same meeting for all occurrences
  • Separate meeting per occurrence

Same Meeting for All Occurrences

Choose Same meeting for all occurrences when every occurrence should use one shared Google Meet link.

Eventixa manages one Google Calendar event and Meet conference for the recurring series.

Separate Meeting per Occurrence

Choose Separate meeting per occurrence when every occurrence should have its own dedicated Google Calendar event and Google Meet conference.

Eventixa stores the managed meeting separately for each occurrence.

Why Use Separate Meetings?

Separate Google Meet sessions are useful when each occurrence needs its own:

  • Calendar event
  • Meet join URL
  • Meeting schedule
  • Occurrence-specific lifecycle

Create Google Meet Occurrence Meetings

When separate meeting mode is active, Eventixa can create managed Google Meet sessions for the recurring occurrences.

Eventixa creates the occurrence meetings in batches.

Recurring Creation Batch Size

The current Google Meet recurring workflow creates up to 10 occurrence meetings in one processing batch.

If more meetings remain, Eventixa reports the remaining count so processing can continue.

Create Missing Meetings

If new recurring occurrences are added after meetings already exist, Eventixa can create meetings only for the missing occurrences.

Existing managed occurrence meetings are preserved.

Sync All Occurrence Meetings

Use Sync All to synchronize recurring occurrence meetings after occurrence dates or event details change.

Eventixa processes the recurring meeting synchronization in batches.

Pending Meet Links During Sync

If Google Calendar has created an occurrence event but the Meet link is still pending, Sync All can refresh the remote Calendar event and retrieve the conference once it becomes available.

Stale Occurrence Meetings

If a linked occurrence Calendar event has been deleted remotely, Eventixa can remove the stale occurrence reference during synchronization.

Disconnect All

Use Disconnect All to remove all occurrence meeting references from Eventixa.

The Google Calendar events and Google Meet conferences remain unchanged.

Delete All from Google

Use the recurring delete action when you want Eventixa to delete the linked Google Calendar events and Meet conferences.

Deletion is processed in batches, with up to 10 occurrence meetings handled per batch.

Changing Recurring Meeting Mode

Existing managed meeting references can prevent unsafe changes between shared and separate recurring meeting modes.

Resolve or disconnect the existing meetings before switching modes when Eventixa requires it.

Google Meet and Event Duplication

When an Eventixa event is duplicated, managed Google Meet attendee join URLs are not copied to the duplicate event.

This prevents the duplicated event from accidentally reusing access to the original Google Meet conference.

Configure the meeting separately for the duplicated event.

Why Join URLs Are Not Copied

A managed Google Meet URL belongs to a specific remote Calendar event and Eventixa event relationship.

Copying it could direct attendees from the duplicated event into the original event’s meeting.

Security Recommendations

Keep the Google Client ID, Client Secret, refresh authorization, and connected account information private.

The Client Secret should never appear in public screenshots, support messages, or documentation.

Common Problems

Google Meet Shows Configure Google Meet

The global Google account has not been connected yet.

Go to Eventixa → Settings → Integrations → Meetings and complete Google OAuth authorization.

Google Authorization Fails

Check the Client ID, Client Secret, Authorized redirect URI, enabled Google Calendar API, OAuth application settings, and required scopes.

Redirect URI Mismatch

Copy the Authorized redirect URI directly from Eventixa and add the exact value to the Google OAuth Web application’s Authorized redirect URIs.

No Calendar Appears

Eventixa only lists writable calendars that support Google Meet conference creation.

Verify the connected Google account has an appropriate calendar.

Google Connected but Eventixa Reports No Meet-Capable Calendar

Check whether the Google account has write access to a calendar that supports Google Meet.

Eventixa Says to Select a Google Calendar

Return to Settings → Integrations → Meetings, select a suitable calendar, and click Save calendar.

Eventixa Says to Save the Event First

Publish or update the Eventixa event before creating or linking the managed Google Meet session.

Google Calendar Event Was Created but No Meet Link Appears

Google may still be generating the conference.

Use Refresh Meet Link after a short wait.

Existing Calendar Event Cannot Be Linked

Confirm that the event ID or Calendar URL is valid, the connected account can access it, and the event already contains a Google Meet conference.

Existing Calendar Event Has No Google Meet

Eventixa cannot link a Calendar event that does not contain a Google Meet conference.

Create a Meet conference on the Calendar event or let Eventixa create a new managed session.

Event Time Changed but Google Calendar Is Out of Date

Save the Eventixa event and use Sync Meeting if necessary.

For separate recurring meetings, use Sync All.

Sync Reports That the Google Event Is Missing

The Calendar event may have been deleted directly in Google.

Eventixa removes the stale local meeting reference so you can create or link another session.

Disconnect Left the Google Calendar Event in Place

This is expected because Disconnect only removes the Eventixa relationship.

Use the delete action if you intentionally want to delete the Google Calendar event and Meet conference.

Replace Left the Old Calendar Event in Google

This is expected because Replace unlinks the old meeting without deleting it.

New Recurring Occurrences Have No Meeting

Use the Create Missing Meetings workflow to create meetings for newly added occurrences.

Recurring Meetings Have Old Dates

Save the recurrence changes and run Sync All.

Cannot Change Recurring Meeting Mode

Existing managed meeting references can lock the mode to prevent inconsistent meeting data.

Disconnect or otherwise resolve those meetings before changing the mode.
