QR Check-In

QR Check-In allows event staff to quickly verify attendee tickets and record event entry using a QR code scanner or manual ticket number lookup. Instead of searching attendee lists manually, staff can validate tickets in seconds using the dedicated Check-In page.

The QR Check-In system is fully integrated with QR Tickets, Bookings, and Attendees, ensuring that only valid attendees can be checked in while maintaining an accurate attendance history.

How QR Check-In Works

After attendees receive their QR Tickets, event staff can use the Eventixa Check-In page to validate each ticket.

The complete workflow is shown below.

If QR scanning is unavailable, staff can manually enter the attendee’s Ticket Number (when enabled).

Accessing the Check-In Page

Eventixa provides a dedicated frontend Check-In page that uses the following shortcode:

[eventixa_checkin]

Only authorized users can access this page.

By default:

  • Users must be logged in.
  • The Check-In feature must be enabled.
  • The user must have the required capability or assigned role configured in the QR Check-In settings.

This helps ensure that only authorized staff can manage attendee check-ins.

Supported Check-In Methods

Eventixa supports multiple ways to validate attendee tickets.

QR Code Scanner

The fastest method is scanning the attendee’s QR code using a compatible device camera.

Simply:

  1. Open the Check-In page.
  2. Allow camera access.
  3. Scan the attendee’s QR ticket.

Once the QR code is recognized, Eventixa automatically validates the ticket.

USB Barcode / QR Scanner

Many USB barcode scanners function as keyboard input devices.

Staff can scan a printed or digital QR ticket directly into the Check-In page, allowing rapid processing of attendees during busy events.

Manual Ticket Lookup

If enabled in the settings, staff can manually enter the attendee’s Ticket Number.

Example:

TKT-2026-000125

This option is useful when:

  • A QR code is damaged.
  • Camera access is unavailable.
  • The attendee presents only the ticket number.

Ticket Validation

Every scan or manual lookup goes through Eventixa’s validation process before the attendee is admitted.

The system verifies:

  • The ticket exists.
  • The attendee exists.
  • The booking exists.
  • The attendee belongs to the booking.
  • The booking satisfies the required booking or payment conditions.
  • The attendee has not already checked in.
  • For recurring events, the attendee belongs to the correct event occurrence.

Only when all validation checks succeed is the attendee checked in.

Successful Check-In

When validation succeeds, Eventixa automatically:

  • Marks the attendee as Checked In.
  • Records the check-in time.
  • Records the staff member who performed the check-in.
  • Updates the attendee record.
  • Adds the check-in to the attendee history.
  • Updates the related booking notes.

The attendee is immediately recognized as having entered the event.

Duplicate Check-In Protection

Each attendee can only be actively checked in once.

If the same ticket is scanned again, Eventixa detects that the attendee has already been checked in and prevents a duplicate check-in.

This helps prevent duplicate event entry while preserving accurate attendance records.

Check-Out

If Allow Check-Out is enabled in the QR Check-In settings, authorized staff can also check attendees out of the event.

When an attendee is checked out, Eventixa:

  • Updates the attendee status.
  • Records the check-out time.
  • Records the staff member who performed the check-out.
  • Adds the action to the attendee history.
  • Updates the related booking notes.

This feature is useful for events that need to track both entry and exit times.

Recurring Events

QR Check-In fully supports recurring events.

Each QR Ticket is linked to the specific event occurrence selected during registration.

These measures help ensure that only valid attendees are admitted.

Best Practices

  • Test the Check-In page before attendees begin arriving.
  • Verify that camera permissions are enabled on mobile devices.
  • Use QR scanning whenever possible for the fastest attendee processing.
  • Keep manual ticket lookup enabled as a backup for damaged or unreadable QR codes.
  • Train event staff on duplicate check-in messages and validation failures before the event begins.
  • If your event tracks attendee departures, enable Check-Out to maintain complete attendance records.
