Eventixa automatically sends email notifications to customers and administrators throughout the booking process. These emails keep attendees informed about their registration, payment, and booking status while ensuring administrators receive important booking notifications.
Email notifications are triggered automatically based on booking events, helping you maintain clear communication without manual intervention.
How Booking Emails Work
Whenever a customer registers for an event, Eventixa evaluates the booking and sends the appropriate email notification.
Depending on the booking workflow, emails may be sent when:
- A booking is successfully created.
- Payment is successfully completed.
- A booking is cancelled.
- A booking is refunded.
- An administrator needs to be notified of a new booking.
Email delivery is handled automatically once the corresponding booking event occurs.
Available Booking Emails
The following booking-related email templates are included in Eventixa.
| Recipient | Trigger | |
|---|---|---|
| Booking Confirmation | Customer | Sent after a successful booking. |
| Payment Confirmation | Customer | Sent after a successful payment. |
| Booking Cancelled | Customer | Sent when a booking is cancelled. |
| Booking Refunded | Customer | Sent when a booking is marked as refunded. |
| New Booking Notification | Administrator | Sent when a new booking is received. |
Each email can be enabled, disabled, and customized independently.
Booking Confirmation Email
The Booking Confirmation email is sent after a booking has been successfully created.
This email typically includes:
- Booking Number
- Event Name
- Event Date
- Ticket Information
- Booking Summary
- Customer Information
- Booking Link
This serves as the attendee’s confirmation that their registration has been successfully recorded.
Payment Confirmation Email
For paid events, Eventixa sends a Payment Confirmation email after payment has been successfully processed.
Typical information includes:
- Payment Status
- Payment Method
- Booking Number
- Event Information
- Ticket Summary
- Order Total
This email confirms that payment has been successfully received.
Booking Cancelled Email
If a booking is cancelled, Eventixa automatically sends a cancellation email to the customer.
This email informs the attendee that:
- The booking has been cancelled.
- The registration is no longer valid.
- The booking status has been updated.
Booking Refunded Email
When a cancelled booking is marked as Refunded, Eventixa sends a refund notification.
The email confirms:
- The booking has been refunded.
- The booking status is now Refunded.
Note: Marking a booking as Refunded updates the booking record and sends the notification email. It does not process the refund through Stripe, PayPal, or another payment gateway.
New Booking Notification
Administrators can receive an email whenever a new booking is created.
This notification helps event organizers monitor registrations without needing to constantly check the dashboard.
The notification typically includes:
- Customer Name
- Event Name
- Booking Number
- Booking Total
- Booking Status
Email Content
Booking emails are built using Eventixa’s email template system.
Templates can include dynamic placeholders such as:
- Booking Number
- Customer Name
- Event Name
- Event Date
- Ticket Information
- Booking Summary
- Payment Details
- Booking Link
These placeholders are automatically replaced with booking-specific information before the email is sent.
Customizing Booking Emails
Booking email templates can be managed from:
Eventixa → Settings → Emails
For each email, you can configure:
- Enable or Disable the email
- Email Subject
- Heading
- Email Content
- Available placeholders
This allows you to tailor each notification to match your branding and communication style.

Relationship with Booking Status
Booking emails are closely linked to booking status changes.
For example:
| Booking Status | Email Triggered |
|---|---|
| Completed | Booking Confirmation |
| Payment Successful | Payment Confirmation |
| Cancelled | Booking Cancelled |
| Refunded | Booking Refunded |
This ensures attendees receive timely updates whenever their booking status changes.
Administrator Notifications
In addition to customer emails, Eventixa can notify administrators when new bookings are received.
This helps event managers:
- Monitor registrations in real time.
- Respond quickly to new bookings.
- Stay informed without manually checking the Bookings screen.
Best Practices
- Review all booking email templates before publishing your event.
- Use clear and descriptive subject lines so attendees can easily recognize important notifications.
- Include relevant booking and event details to reduce support inquiries.
- Use placeholders instead of manually entering booking information to ensure emails remain accurate.
- Send yourself a test booking to verify the appearance and content of your email templates before accepting registrations.
Tips
- Booking emails are sent automatically based on booking events, reducing the need for manual communication.
- Each email template can be customized independently from the Emails settings.
- Dynamic placeholders allow the same template to display personalized booking information for every attendee.
- Eventixa Pro extends the email system with additional notifications, including QR ticket delivery, invoice emails, reminder emails, and other advanced communication features.
