RSVP Tickets

RSVP Tickets are ideal for free events where attendee registration is required.

Common examples include:

Creating an RSVP Ticket

To create an RSVP ticket:

  1. Navigate to Events → Edit Event.
  2. Open the Tickets & RSVP section.
  3. Click Add New RSVP.
  4. Configure the RSVP ticket settings.
  5. Save the ticket.

Once published, visitors can reserve their attendance directly from the event page.

RSVP Ticket Information

Every RSVP ticket includes basic information that helps attendees understand the registration.

Ticket Name

Enter a clear name for the RSVP ticket.

Examples:

  • General RSVP
  • Free Registration
  • Event Registration
  • Complimentary Entry
  • Guest Registration

This name is displayed on the event page and in confirmation emails.

Description

Provide additional information about the RSVP registration.

Example:

Reserve your free spot for the Future of Digital Events Summit. Registration is required to receive joining instructions.

You can choose whether this description is displayed on the frontend ticket form.

Capacity Management

Although RSVP tickets are free, you can still control how many people may register.

Available options include:

Unlimited Capacity

Allow unlimited registrations.

Best for:

  • Online webinars
  • Virtual conferences
  • Public announcements

Limited Capacity

Specify the maximum number of registrations allowed.

Example:

Capacity: 200

Once the limit is reached, no additional RSVP registrations can be accepted unless capacity is increased.

Booking Quantity Limits

Control how many RSVP registrations can be made in a single booking.

Minimum Quantity

Specify the minimum number of reservations allowed.

Example:

Minimum: 1

Maximum Quantity

Specify the maximum number of reservations allowed per booking.

Example:

Maximum: 4

This is useful when attendees are allowed to register guests.

Registration Availability

You can enable or disable RSVP registrations at any time.

When disabled:

  • The RSVP option is hidden or unavailable on the event page.
  • Existing registrations remain unchanged.
  • No new attendees can register until registrations are enabled again.

Attendee Information Fields

Each RSVP ticket can collect attendee information during registration.

By default, Eventixa collects:

  • Name
  • Email Address

You can also add custom fields such as:

  • Phone Number
  • Company
  • Job Title
  • Organization
  • Dietary Requirements
  • Emergency Contact
  • T-Shirt Size
  • Comments

Custom attendee fields help organizers collect additional information before the event.

Managing RSVP Registrations

Once attendees begin registering, Eventixa automatically records every RSVP.

You can manage registrations from:

Event → Tickets & RSVP → View Attendees

or

Eventixa → Attendees

From the attendee list you can:

  • View attendee details
  • Search registrations
  • Filter attendees
  • Check in attendees (Pro)
  • Export attendee lists (Pro)

RSVP on the Frontend

Visitors can register directly from the event page.

The registration form typically includes:

  • Ticket Name
  • Availability
  • Quantity Selector
  • Attendee Information Form
  • RSVP Button

After submitting the form, attendees receive a confirmation email with their registration details.

RSVP Confirmation Email

Once registration is completed, Eventixa automatically sends a confirmation email to the attendee.

The email typically includes:

  • Event Name
  • Event Date and Time
  • Venue or Virtual Event Details
  • Booking Number
  • RSVP Ticket Information
  • Registration Status

Administrators can customize these emails from Settings → Emails.

Viewing RSVP Statistics

Each event displays an RSVP summary, including:

  • Total Capacity
  • Remaining Capacity
  • Registered Attendees
  • Checked-In Attendees (Pro)
  • Cancelled Registrations
  • Waitlisted Attendees (Pro)

These statistics help organizers monitor attendance in real time.

Editing an RSVP Ticket

You can edit an RSVP ticket at any time to update:

  • Ticket Name
  • Description
  • Capacity
  • Booking Quantity Limits
  • Registration Availability
  • Attendee Information Fields

Changes apply to future registrations while preserving existing attendee records.

Deleting an RSVP Ticket

If an RSVP ticket is no longer needed, it can be deleted from the Tickets & RSVP section.

Note: Deleting an RSVP ticket does not automatically remove existing attendee records. Review your registrations before permanently deleting a ticket.

Best Practices

  • Use descriptive ticket names such as General RSVP or Free Registration.
  • Set a capacity limit for in-person events to avoid overbooking.
  • Collect only the attendee information you actually need.
  • Set sensible booking quantity limits if guests are allowed.
  • Disable registrations once the event has reached capacity or registration has closed.
  • Review attendee registrations regularly to keep attendance records up to date.
