Waitlist Settings

The Waitlist Settings in Eventixa Pro allow administrators to control how the Waitlist feature behaves across their website. These settings determine when visitors can join a waitlist, how notifications are handled, and how the system responds when tickets become available.

By configuring these options correctly, you can automate ticket recovery, improve attendee communication, and maximize event attendance with minimal administrative effort.

Accessing the Waitlist Settings

To configure the Waitlist feature:

  1. Navigate to Eventixa → Settings.
  2. Open the Waitlist settings section.
  3. Configure the available options.
  4. Save your changes.

These settings apply to all events that use the Waitlist feature.

Enable Waitlist

Purpose

This setting enables or disables the Waitlist feature throughout your website.

When enabled:

  • Visitors can join the waitlist for eligible sold-out events.
  • Waitlist notifications can be sent when tickets become available.
  • Administrators can manage waitlist entries.

When disabled:

  • The Join Waitlist option is hidden.
  • Visitors cannot register their interest in sold-out events.
  • No waitlist notifications are sent.

Recommendation: Keep this option enabled for events with limited capacity.

Show Waitlist for Sold-Out Events

Purpose

Controls when the Join Waitlist option is displayed.

When enabled:

  • Visitors see the Join Waitlist button after tickets become unavailable.
  • Interested attendees can register for future availability.

When disabled:

  • Sold-out events remain unavailable without offering a waitlist.

This setting helps capture demand even after an event reaches capacity.

Waitlist Notification Emails

Purpose

Enables automatic email notifications when tickets become available.

When enabled:

  • Eligible waitlisted attendees receive notification emails.
  • Attendees are invited to return and complete their booking.

When disabled:

  • Waitlist entries are still recorded.
  • Notification emails are not sent automatically.

For the best attendee experience, notification emails should remain enabled.

Notification Trigger

Purpose

Determines when Eventixa should notify waitlisted attendees.

Notifications are typically triggered when:

  • A booking is cancelled.
  • Additional tickets are released.
  • Event capacity is increased.
  • Tickets become available again.

Once availability changes, Eventixa begins processing eligible waitlist entries.

Waitlist Registration

Purpose

Controls whether visitors can submit waitlist requests for eligible events.

When enabled:

  • Visitors can register their interest in attending sold-out events.

Each successful registration creates a waitlist entry that can later be used during the notification process.

Waitlist Processing

Purpose

Controls how Eventixa manages waitlist entries after ticket availability changes.

The system automatically:

  • Records new waitlist registrations.
  • Detects ticket availability.
  • Sends notifications (when enabled).
  • Removes attendees after successful bookings.
  • Updates the remaining waitlist.

This automation reduces manual administration while keeping the waitlist up to date.

Email Integration

The Waitlist system integrates directly with Eventixa’s email system.

Notification emails can include information such as:

  • Event name
  • Notification that tickets are available
  • Instructions for completing registration

To ensure successful delivery, verify that your website’s email configuration is working correctly.
