QR Ticket & Check-In Settings

Eventixa Pro provides a comprehensive set of settings to control how QR Tickets, PDF Tickets, and the QR Check-In system work. These settings allow you to customize ticket appearance, manage ticket delivery, configure check-in behavior, and control which users are allowed to validate attendees.

All QR Ticket and Check-In settings can be configured from the Eventixa administration panel without modifying any plugin files.

Accessing the Settings

To configure QR Tickets and Check-In:

  1. Navigate to Eventixa → Settings.
  2. Open the Tickets settings section.
  3. Configure the available QR Ticket and Check-In options.
  4. Save your changes.

These settings affect all events that use the QR Ticket and Check-In system.

QR Ticket Settings

The QR Ticket settings control how tickets are generated, displayed, and delivered to attendees.

Enable QR Tickets

Purpose

Enables or disables QR Ticket generation.

When enabled:

  • Every eligible attendee receives a unique QR Ticket.
  • QR codes are generated automatically.
  • QR Check-In can validate attendee tickets.

When disabled:

  • QR codes are not generated.
  • QR-based attendee validation is unavailable.

Enable PDF Tickets

Purpose

Controls whether tickets are generated as downloadable PDF documents.

When enabled:

  • Tickets can be downloaded.
  • Tickets can be attached to supported emails.
  • Customers receive professionally formatted ticket documents.

When disabled:

  • PDF ticket generation is unavailable.

Attach PDF Tickets to Confirmation Emails

Purpose

Automatically includes PDF tickets with supported customer emails.

When enabled:

  • Eligible booking confirmation emails include the attendee’s PDF ticket.

When disabled:

  • Customers must download tickets from their Booking Details page (if downloads are enabled).

Allow Ticket Download

Purpose

Allows attendees to download their QR Tickets.

When enabled:

Customers can access ticket downloads through supported Eventixa pages and links.

When disabled:

Ticket downloads are not available, even if PDF Tickets are enabled.

Ticket Number Prefix

Purpose

Defines the prefix used when generating ticket numbers.

Example:

TKT-2026-000125

Changing the prefix affects newly generated ticket numbers.

Choose a short, recognizable prefix that matches your organization’s branding.

Header Image

Purpose

Displays a custom logo or banner at the top of generated PDF tickets.

Recommended uses:

  • Company logo
  • Event logo
  • Conference branding
  • Festival branding

Header Image Alignment

Controls the position of the header image.

Available options depend on your selected ticket layout and may include:

  • Left
  • Center
  • Right

Choose the alignment that best matches your branding.

Additional Content

Adds custom text to every generated PDF ticket.

Common examples include:

  • Event instructions
  • Parking information
  • Venue policies
  • Contact information
  • Sponsor acknowledgements

Example:

Please arrive at least 30 minutes before the event begins.

Show QR Code

Controls whether the QR code is displayed on generated tickets.

When enabled:

  • QR codes appear on PDF tickets.

When disabled:

  • Tickets are generated without the QR code.

If you plan to use QR Check-In, this option should remain enabled.

Show Event Date & Time

Displays the event date and time on generated tickets.

This helps attendees quickly verify the correct event.

Show Venue Details

Displays venue information on the ticket.

Typical information includes:

  • Venue Name
  • Address

This helps attendees locate the event venue.

Show Organizer Details

Displays organizer information on the ticket.

This is useful when attendees may need organizer contact information before the event.

Show Ticket Price

Displays the purchased ticket price on the generated PDF.

This is useful for:

  • Paid events
  • Financial records
  • Customer reference

For complimentary events, you may prefer to disable this option.

PDF Page Size

Controls the paper size used when generating PDF tickets.

Available options:

  • A4
  • Letter

Select the format that best matches your region and printing requirements.

QR Check-In Settings

These settings control how Eventixa validates attendee tickets during event entry.

Enable QR Check-In

Purpose

Enables the QR Check-In system.

When enabled:

  • Authorized staff can access the Check-In page.
  • QR Tickets can be scanned.
  • Manual ticket lookup is available (if enabled).

When disabled:

The Check-In page cannot be used to validate attendees.

Allow Manual Ticket ID Search

Purpose

Allows staff to manually enter a Ticket Number instead of scanning a QR code.

Example:

TKT-2026-000125

Enable this option as a backup when:

  • A QR code is damaged.
  • Camera access is unavailable.
  • A scanner cannot read the ticket.

Allow Check-Out

Purpose

Enables attendee check-out functionality.

When enabled:

Authorized staff can:

  • Record attendee departures.
  • Maintain entry and exit history.
  • Update attendee status after leaving the event.

If your events only require entry tracking, this option can remain disabled.

Require Completed / Confirmed Booking

Purpose

Controls booking eligibility for check-in.

When enabled:

Eventixa validates the attendee’s booking before allowing entry.

Depending on the booking and payment status, attendees with incomplete registrations may be prevented from checking in.

This helps ensure that only valid registrations are admitted.

Allowed Check-In Roles

Purpose

Controls which WordPress user roles can access the Check-In page.

Typical examples include:

  • Administrator
  • Event Manager
  • Staff

Restrict access to trusted personnel responsible for attendee management.

Best Practices

  • Keep QR Tickets, PDF Tickets, and QR Check-In enabled for the best attendee experience.
  • Enable Attach PDF Tickets to Confirmation Emails so attendees receive their tickets immediately after booking.
  • Leave Allow Manual Ticket ID Search enabled as a backup in case QR scanning is unavailable.
  • Enable Require Completed / Confirmed Booking to prevent incomplete registrations from entering the event.
  • Customize your ticket branding using a header image and additional content before publishing live events.
  • Limit Check-In access to authorized event staff only.

Tips

  • Most organizations use both QR scanning and manual ticket lookup, ensuring attendees can still be checked in if a QR code cannot be scanned.
  • Ticket branding settings, such as the header image and additional content, are applied automatically to all newly generated PDF tickets.
  • The Check-In settings work seamlessly with QR Tickets, Ticket Validation, Bookings, and Attendees, creating a complete event entry workflow.
  • After changing any ticket or check-in settings, generate a test booking and verify the ticket layout, email delivery, and check-in process before your event goes live.
