# Virtual Event Integration Problems

Use this guide when a Virtual or Hybrid Eventixa event cannot use Zoom or Google Meet, a meeting cannot be created or linked, the meeting provider cannot be changed, recurring meeting links are incorrect, or eligible attendees cannot see the Join button.

Eventixa supports:

- Custom Meeting URL in Eventixa Core
- Zoom with Eventixa Pro
- Google Meet with Eventixa Pro

Custom URL is provider-neutral and does not require Eventixa to create or manage the external meeting.

Zoom and Google Meet are managed providers. They require Eventixa Pro and a valid provider connection before Eventixa can create or link managed meetings.

Virtual-event problems usually fall into one of these areas:

- Provider availability
- Provider connection
- Event Format
- Meeting Provider
- Meeting creation/linking
- Access & Visibility rules
- Join-link reveal timing
- Recurring meeting mode
- Existing managed meeting links
- Provider switching
- Disconnect/delete behavior

## Before You Begin

Before changing the event configuration:

1. Identify whether the event is **Virtual** or **Hybrid**.
2. Confirm whether it uses **Custom URL**, **Zoom**, or **Google Meet**.
3. If using Zoom or Google Meet, confirm Eventixa Pro is active.
4. Confirm the provider is connected globally.
5. If the event is recurring, identify whether it uses:
   - Same meeting for all occurrences
   - Separate meeting per occurrence
6. Note whether the issue affects meeting creation, provider selection, or attendee access.
7. Do not delete a remote meeting before confirming whether other events or occurrences depend on it.
8. Never share private Join URLs, meeting credentials, API keys, OAuth secrets, or attendee-access links in public support requests.

## Quick Diagnosis

| Symptom | First Check |
| --- | --- |
| Zoom is disabled | Eventixa Pro + Zoom global connection |
| Google Meet is disabled | Eventixa Pro + Google provider connection |
| Custom URL does not work | Join URL and event format |
| Join button is missing | Who Can Join + Reveal Join Link + display location |
| Provider cannot be changed | Existing managed meeting link |
| Recurring dates share the wrong meeting | Recurring meeting mode |
| Separate occurrence meetings are missing | Separate meeting per occurrence configuration |
| Meeting disappeared after provider change | Existing provider link/disconnect state |
| Attendee cannot access meeting | Audience rule, booking/attendee state, reveal timing |
| Paid attendee cannot see link | Payment state + Paid attendees rule |
| Meeting link appears too early or too late | Reveal Join Link + Event Timezone |
| Hybrid event shows no online access | Meeting Provider + access/display settings |

## Confirm the Event Format

Go to: **Eventixa → Events → Edit Event**

Review the event's **Event Format**.

The supported formats are:

- In-person
- Virtual
- Hybrid

For online meeting access:

- **Virtual** uses online meeting configuration.
- **Hybrid** combines a physical venue with online meeting access.
- **In-person** does not use the normal virtual-access workflow.

If the Meeting Provider controls are missing, first confirm the event is configured as Virtual or Hybrid.

## Check Meeting Provider Availability

For Virtual or Hybrid events, Eventixa can use:

- Custom URL
- Zoom
- Google Meet

Availability depends on the installed Eventixa plan.

| Provider | Eventixa Core | Eventixa Pro |
| --- | --- | --- |
| Custom URL | Yes | Yes |
| Zoom | No | Yes |
| Google Meet | No | Yes |

If Zoom or Google Meet is unavailable, confirm Eventixa Pro is active before troubleshooting the connection itself.

## Zoom or Google Meet Is Disabled

If a managed provider is disabled in the event editor:

1. Confirm Eventixa Pro is active.
2. Go to **Eventixa → Settings → Integrations**.
3. Open the meeting/provider integration area.
4. Confirm the required provider is connected.
5. Return to the event editor.
6. Reload the page.
7. Select the managed provider again.

A managed provider cannot be used normally until the global connection is available.

## Check the Global Provider Connection

Zoom and Google Meet use global provider connections.

A useful diagnostic split is:

**Global provider connection → Event provider selection → Meeting creation/link → Attendee access**

If the provider is unavailable across every event, troubleshoot the global connection first.

If the provider works on other events but fails on only one event, focus on that event's meeting configuration.

## Custom Meeting URL Problems

Custom URL is available in Eventixa Core.

Use it when the external meeting or stream is managed outside Eventixa.

A Custom URL setup includes:

- Meeting Provider: Custom URL
- Custom meeting URL / Join URL
- Join Button Label
- Access & Visibility
- Display Meeting Info

Eventixa controls whether the configured Join URL is revealed, but it does not create, update, or delete the external meeting itself.

If the external meeting is unavailable, verify the external service separately.

## Custom URL Is Missing or Invalid

Check:

1. Event Format is Virtual or Hybrid.
2. Meeting Provider is **Custom URL**.
3. A valid Join URL is entered.
4. The event is updated.
5. Access rules allow the current visitor to see the link.
6. Reveal timing allows the link to be shown.

If the URL opens but the remote service rejects the attendee, troubleshoot the external meeting provider because Eventixa does not manage that remote meeting.

## Join Button Is Not Visible

A missing Join button does not always mean the integration is broken.

Eventixa separates:

- **Who Can Join**
- **Reveal Join Link**
- **Display Meeting Info**

All applicable rules must allow access before the Join URL is exposed.

Check:

1. Event Format
2. Meeting Provider
3. Join URL or linked managed meeting
4. Who Can Join
5. Reveal Join Link
6. Minutes Before Start when used
7. Display Meeting Info
8. Booking/attendee/payment state where required

## Who Can Join

The supported audience rules are:

- Everyone
- Logged-in users
- Confirmed attendees
- Paid attendees

If **Everyone** is selected, eligible visitors are not restricted by Eventixa attendee status.

If **Logged-in users** is selected, the visitor must be authenticated.

If **Confirmed attendees** is selected, Eventixa must recognize the visitor as a confirmed attendee.

If **Paid attendees** is selected, the attendee must satisfy the required paid-registration state.

For recurring events, confirmed and paid attendee checks are occurrence-aware.

## Confirmed Attendee Cannot See the Join Link

Check:

1. The attendee exists for the expected booking.
2. The booking belongs to the correct event.
3. For recurring events, the booking belongs to the correct occurrence.
4. **Who Can Join** is set as intended.
5. Reveal timing has been reached.
6. The selected display location is enabled.
7. The visitor is using the account/session expected by the access workflow.

Do not compare only the parent recurring event when the attendee registered for a specific occurrence.

## Paid Attendee Cannot See the Join Link

If **Paid attendees** is selected:

1. Open **Eventixa → Bookings**.
2. Confirm the attendee's booking.
3. Review the payment status.
4. Confirm the correct recurring occurrence.
5. Confirm reveal timing.
6. Confirm the meeting is linked.

A booking that exists but has not reached the required paid state may not satisfy the Paid attendees rule.

If the payment state is wrong, use the **Payment Problems** guide.

## Reveal Join Link

Eventixa supports these reveal rules:

- Immediately
- At event start
- Before event starts

When **Before event starts** is selected, Eventixa uses **Minutes Before Start**.

The supported lead time can be up to seven days:

**10,080 minutes**

If the Join button appears too early or too late, review the reveal rule and the event's date/time configuration.

## Join Link Appears Too Early

Check whether **Reveal Join Link** is set to:

**Immediately**

If the link should remain hidden until near the event, choose the appropriate time-based reveal rule.

Also confirm the event timezone.

## Join Link Appears Too Late

Check:

- Reveal Join Link
- Minutes Before Start
- Event start time
- Event timezone
- WordPress timezone fallback where applicable

A timezone mismatch can make a correct lead-time setting appear incorrect to administrators or attendees.

## Check Event Timezone

Time-based virtual access depends on event date/time behavior.

Review:

**Eventixa → Settings → Display → Date and Time**

If no custom Event Timezone is selected, Eventixa follows the WordPress site timezone.

When troubleshooting time-based Join-link visibility, compare:

- Event timezone
- Event start time
- Visitor expectation
- Reveal rule

## Display Meeting Info

Eventixa can expose eligible meeting information in supported locations, including:

- Single event page
- Booking confirmation emails

Enabling a display location does not bypass access restrictions.

For example, enabling meeting information in the booking email does not automatically allow an ineligible attendee to receive protected access.

## Meeting Link Is Missing from Booking Email

Check:

1. Meeting Provider is configured.
2. The event has a valid Join URL/linked meeting.
3. Booking confirmation email display is enabled.
4. The attendee satisfies **Who Can Join**.
5. The reveal timing allows access.
6. The relevant email workflow was triggered.

If the email itself does not arrive, use the **Email Delivery Problems** guide.

## Zoom Meeting Cannot Be Created or Linked

For Zoom:

1. Confirm Eventixa Pro is active.
2. Confirm Zoom is connected globally.
3. Confirm the event is Virtual or Hybrid.
4. Select Zoom as Meeting Provider.
5. Review the managed meeting configuration.
6. Save/update the event.
7. Check for an existing managed meeting reference that may conflict.

If the global connection is broken, fix that before repeatedly attempting to create event-level meetings.

## Google Meet Cannot Be Created or Linked

For Google Meet:

1. Confirm Eventixa Pro is active.
2. Confirm the Google integration is authorized/connected.
3. Confirm the event is Virtual or Hybrid.
4. Select Google Meet.
5. Review the managed meeting configuration.
6. Save/update the event.
7. Check existing meeting references if provider changes were attempted.

Google Meet meeting creation is managed through the supported Google integration workflow rather than a plain Custom URL.

## I Cannot Change the Meeting Provider

If Eventixa prevents switching from Zoom to Google Meet, Google Meet to Zoom, or a managed provider to another provider, check for an existing linked managed meeting.

Eventixa protects the linked remote meeting reference.

Disconnect or unlink the current managed meeting from Eventixa first.

Then change the provider.

This prevents accidental orphaning or overwriting of an existing remote meeting relationship.

## Disconnect vs Delete

Disconnecting/unlinking a provider meeting from Eventixa does not automatically mean the remote Zoom or Google meeting is deleted.

These are separate operations.

A simplified distinction is:

**Disconnect / Unlink** — remove the Eventixa relationship.

**Delete** — remove the remote meeting when the integration provides an explicit delete action.

Do not assume disconnecting Eventixa deletes the meeting from Zoom or Google.

## Remote Meeting Still Exists After Disconnect

This can be expected.

If you only disconnected/unlinked the Eventixa reference, the remote provider meeting can remain in the provider account.

Use the explicit delete action only when you intend to remove the remote meeting as well.

## Provider Switching After Disconnect

After disconnecting the existing managed meeting:

1. Save/update the event if required.
2. Select the new provider.
3. Configure/create the new meeting.
4. Verify the new Join URL.
5. Retest attendee access.

Do not reuse a stale Join URL from the previous provider.

## Recurring Virtual Events

For recurring Virtual or Hybrid events, Eventixa Pro supports:

- Same meeting for all occurrences
- Separate meeting per occurrence

Choose the mode that matches the intended attendee experience before creating a large set of managed meetings.

## Same Meeting for All Occurrences

Use **Same meeting for all occurrences** when every occurrence should use one shared meeting.

If attendees are seeing different links when you expected one shared link, check:

- Recurring meeting mode
- Existing occurrence-specific links
- Previous provider configuration
- Whether separate occurrence meetings were already created

## Separate Meeting per Occurrence

Use **Separate meeting per occurrence** when each recurring date should have its own Zoom or Google Meet meeting.

If all occurrences are showing the same link:

1. Confirm the recurring meeting mode is **Separate meeting per occurrence**.
2. Confirm occurrence meetings were created/synchronized.
3. Check the specific occurrence.
4. Verify each occurrence has its own managed meeting reference.

## Occurrence Meetings Are Missing

If some recurring dates have meetings and others do not:

- Confirm all intended occurrences exist.
- Confirm the managed provider is still connected.
- Review the recurring meeting controls.
- Re-run the supported occurrence meeting creation/synchronization workflow where appropriate.
- Check whether the provider returned an error for a specific occurrence.

Do not manually paste one occurrence's managed Join URL into every occurrence unless you intentionally want one shared meeting.

## Cannot Change Recurring Meeting Mode

If occurrence meetings are already linked, Eventixa can prevent incompatible meeting-mode or provider changes until those links are disconnected or removed.

Before switching:

1. Review existing occurrence meetings.
2. Disconnect/remove the relevant managed links using the supported workflow.
3. Change the recurring meeting mode.
4. Recreate/synchronize meetings as needed.

This protects existing provider relationships.

## Wrong Meeting Opens for a Recurring Occurrence

Confirm:

- Selected occurrence
- Recurring meeting mode
- Occurrence meeting reference
- Event date/time
- Attendee booking occurrence

If **Separate meeting per occurrence** is used, each occurrence should resolve to its own managed meeting.

If **Same meeting for all occurrences** is used, a shared Join URL is expected.

## Duplicate Event Uses Old Meeting Data

When testing duplicated virtual events, do not assume managed attendee Join URLs should be copied.

Managed Zoom/Google Meet attendee Join URLs should not be treated as reusable event configuration.

After duplication:

1. Review the duplicated event's provider.
2. Create/link the intended meeting.
3. Verify attendee access.
4. Do not reuse private attendee join URLs from the source event.

## Hybrid Event Has Venue but No Join Link

A Hybrid event needs both parts configured:

- Physical venue
- Online meeting

If the venue displays but online access does not:

1. Confirm Event Format is Hybrid.
2. Confirm Meeting Provider.
3. Confirm a Join URL or managed meeting exists.
4. Review access rules.
5. Review reveal timing.
6. Review Display Meeting Info.

## Virtual Event Shows Venue Instead of Online Access

Confirm the event format.

A **Virtual** event should use the online meeting workflow.

A **Hybrid** event can use both venue and online meeting information.

If the event was changed from In-person to Virtual, update the event and review the frontend after clearing caches.

## Cache and Stale Meeting Information

If an old Join URL or old provider still appears:

1. Save/update the event.
2. Clear WordPress cache.
3. Clear server cache.
4. Clear CDN cache.
5. Clear browser cache.
6. Test in a private browser window.

For private meeting links, be careful with full-page caching because protected content should not be exposed to ineligible visitors.

## Security and Private Join Links

Do not place private meeting URLs directly into normal public event content when attendee access should be restricted.

Use Eventixa's virtual-access workflow.

Eventixa controls when the Join URL is displayed, but you should also configure suitable security in Zoom, Google Meet, or the external meeting service.

Examples can include provider-side authentication, waiting rooms, or other controls supported by the external provider.

## Example: Zoom Option Is Disabled

Suppose Zoom cannot be selected.

Troubleshoot in this order:

1. Confirm Eventixa Pro is active.
2. Open **Eventixa → Settings → Integrations**.
3. Confirm Zoom is connected.
4. Edit the event.
5. Confirm Event Format is Virtual or Hybrid.
6. Reload the event editor.
7. Select Zoom.
8. Create/link the meeting.

If Zoom remains unavailable on every event, focus on the global provider connection.

## Example: Confirmed Attendee Cannot See Join Button

Suppose a registered attendee cannot see the meeting button.

Check:

1. The correct booking exists.
2. The attendee is associated with that booking.
3. The correct occurrence is selected for a recurring event.
4. **Who Can Join** is set to Confirmed attendees as intended.
5. Reveal timing has been reached.
6. Single event page display is enabled.
7. The meeting is still linked.

This distinguishes attendee eligibility from provider connectivity.

## Example: Cannot Switch Zoom to Google Meet

Suppose an event already has a managed Zoom meeting and the provider selector will not switch.

The existing managed meeting relationship must be handled first.

1. Review the linked Zoom meeting.
2. Disconnect/unlink the Eventixa meeting reference.
3. Decide whether the remote Zoom meeting should remain or be deleted.
4. Select Google Meet.
5. Create/link the Google Meet meeting.
6. Test attendee access again.

## Recommended Diagnostic Workflow

When a Virtual or Hybrid event fails:

1. Confirm Event Format.
2. Confirm Meeting Provider.
3. For Zoom/Google Meet, confirm Eventixa Pro.
4. Check the global provider connection.
5. Confirm a meeting/Join URL exists.
6. Review Who Can Join.
7. Review Reveal Join Link.
8. Review Minutes Before Start if used.
9. Review Display Meeting Info.
10. If recurring, confirm the meeting mode.
11. Check the specific occurrence.
12. Review existing managed meeting links before switching providers.
13. Clear caches.
14. Test as:
    - Logged-out visitor
    - Logged-in user
    - Confirmed attendee where relevant
    - Paid attendee where relevant
15. If the link is visible but the remote meeting rejects the attendee, troubleshoot the external provider.

## Important Notes

- Custom URL is available in Eventixa Core.
- Zoom and Google Meet require Eventixa Pro.
- Managed providers require a valid global provider connection.
- Custom URL does not create, update, or delete the external meeting.
- Eventixa separates audience access from reveal timing.
- Supported audience rules are Everyone, Logged-in users, Confirmed attendees, and Paid attendees.
- Supported reveal rules are Immediately, At event start, and Before event starts.
- Before-event reveal can use a lead time up to 10,080 minutes.
- Display Meeting Info does not bypass access restrictions.
- Confirmed/Paid attendee checks are occurrence-aware for recurring events.
- Recurring managed meetings can use one shared meeting or separate meetings per occurrence.
- Existing managed meeting links can prevent incompatible provider/mode changes.
- Disconnecting does not automatically delete the remote provider meeting.
- Private Join URLs should never be exposed in public screenshots or support requests.

## Troubleshooting

### Zoom or Google Meet Is Disabled

Confirm Eventixa Pro is active and the provider is connected globally under Eventixa Integration settings.

### Join Button Is Missing

Check:

- Event Format
- Meeting Provider
- Join URL/linked meeting
- Who Can Join
- Reveal Join Link
- Display Meeting Info
- Booking/payment/attendee state

### Provider Cannot Be Changed

Disconnect/unlink the existing managed meeting before switching providers.

### Recurring Event Uses the Same Link for Every Date

If you want separate links, select **Separate meeting per occurrence** and create/synchronize occurrence meetings.

### Recurring Event Has Missing Meeting Links

Review occurrence creation, provider connectivity, and occurrence meeting synchronization.

### Attendee Has a Booking but Cannot Join

Confirm the access rule, booking/attendee state, occurrence, reveal timing, and display location.

### Paid Attendee Cannot Join

Verify the payment status satisfies the Paid attendees access rule.

### Meeting Link Is Missing from the Email

Check the email display option, access eligibility, reveal timing, linked meeting, and email workflow.

### Join Link Appears at the Wrong Time

Review Reveal Join Link, Minutes Before Start, event start time, and Event Timezone.

### Remote Meeting Still Exists After Disconnect

This can be expected. Disconnecting/unlinking Eventixa does not necessarily delete the remote meeting.
