# Recurring Event Agendas

Eventixa Pro lets recurring events use either one shared agenda for every occurrence or different agendas for specific occurrence dates.

This is useful when a repeated event follows the same program each time, or when individual dates need different sessions, speakers, or schedules.

> **Available in:** Eventixa Pro
> **Location:** Eventixa → Events → Edit Event → Speakers & Sessions
> **Requires:** Recurring Events enabled for the event
> **Related features:** Sessions, Speakers & Performers, Recurring Events

## Before You Begin

Make sure:

- Eventixa Core is active.
- Eventixa Pro is active.
- The event has recurrence enabled.
- The recurring schedule has been configured.
- Speakers and performers are created if the agenda uses them.

You can configure recurrence from: `Event Settings → Recurring Events`

## Open the Agenda Settings

Edit the recurring event.

Then open: `Event Settings → Speakers & Sessions`

The agenda workflow works together with the recurring event schedule.

## Agenda Modes

Recurring events support two agenda modes:

- **Same agenda for all occurrences**
- **Different agenda per occurrence**

Choose the mode that matches how the event is actually run.

## Same Agenda for All Occurrences

Use **Same agenda for all occurrences** when every recurring date follows the same program.

For example, a weekly workshop might always use:

| Time | Session |
| --- | --- |
| 9:00 AM | Welcome |
| 9:15 AM | Training Session |
| 11:00 AM | Break |
| 11:15 AM | Practical Workshop |
| 12:30 PM | Q&A |

You create the agenda once, and Eventixa uses it for each occurrence.

## When to Use a Shared Agenda

This mode works well for:

- Weekly classes
- Repeated workshops
- Recurring training sessions
- Monthly networking events
- Regular webinars

Use it whenever the session structure does not change from one occurrence to another.

## Different Agenda per Occurrence

Use **Different agenda per occurrence** when specific dates need their own sessions.

For example:

### October 7

- Introduction
- Beginner Workshop

### October 14

- Intermediate Workshop
- Q&A

### October 21

- Advanced Workshop
- Final Review

Each occurrence can therefore present the agenda that belongs to that date.

## Choose the Occurrence Date

When using different agendas per occurrence, the session editor provides an occurrence date selection based on the generated recurring dates.

Choose the date the session belongs to.

This links the agenda item to that specific occurrence.

## How Occurrence Dates Work

The occurrence date list comes from the recurring event schedule.

If an expected date is missing:

1. Open `Event Settings → Recurring Events`.
2. Review the recurrence rule.
3. Check excluded dates.
4. Check additional dates.
5. Save the recurring event.
6. Return to the session editor.

The agenda can only use occurrence dates generated by the event's recurrence configuration.

## Create Sessions for a Shared Agenda

For a shared agenda:

1. Open **Speakers & Sessions**.
2. Choose **Same agenda for all occurrences**.
3. Add the required sessions.
4. Configure titles, descriptions, times, locations, and speakers.
5. Save the sessions.
6. Update the event.

Those sessions are then used across the recurring event occurrences.

## Create Sessions for a Specific Occurrence

For an occurrence-specific agenda:

1. Open **Speakers & Sessions**.
2. Choose **Different agenda per occurrence**.
3. Click **Add Session**.
4. Select the relevant occurrence date.
5. Enter the session information.
6. Assign speakers or performers.
7. Save the session.
8. Repeat for other occurrence dates as needed.

## Example: Weekly Training Program

Suppose an event occurs every Saturday for four weeks.

### Shared Agenda

Every Saturday:

- 10:00 AM — Introduction
- 10:30 AM — Training
- 12:00 PM — Q&A

Choose:

**Same agenda for all occurrences**

### Different Agenda

Week 1:

- Beginner Training

Week 2:

- Intermediate Training

Week 3:

- Advanced Training

Week 4:

- Final Assessment

Choose:

**Different agenda per occurrence**

## Speakers and Performers

Sessions in recurring agendas can use speaker and performer profiles.

For example:

**October 7**

- Beginner Workshop — Natalie Wong

**October 14**

- Intermediate Workshop — Ethan Clarke

**October 21**

- Advanced Workshop — Amelia Brooks

The participant profiles remain reusable across the event.

## Session Times

Session times work the same way as regular event sessions.

You can configure:

- Start time
- End time
- Session location
- Session type
- Speakers

Make sure session times make sense for the selected occurrence.

## Frontend Agenda

The frontend event page displays the agenda according to the active occurrence.

With a shared agenda, visitors see the same schedule for each occurrence.

With occurrence-specific agendas, Eventixa shows the sessions assigned to the selected or relevant occurrence date.

## Changing Agenda Mode

Take care when switching between:

- Same agenda for all occurrences
- Different agenda per occurrence

Before changing the mode, review existing sessions and occurrence assignments.

A mode change can affect which sessions are shown for each recurring date.

## Changing the Recurrence Rule

If you change the event recurrence after building occurrence-specific agendas, review the agenda again.

Changes such as:

- Frequency
- Repeat interval
- End date
- Excluded dates
- Additional dates

can change the occurrence dates available to sessions.

## Excluded Dates

If a recurring occurrence is removed through an excluded date, any occurrence-specific agenda for that date should also be reviewed.

The event should not continue presenting agenda information for a date that no longer exists.

## Additional Dates

If you add an extra occurrence through **Additional Dates**, that date can become available for occurrence-specific agenda configuration.

Add sessions for that new date if it requires its own program.

## Duplicate Events

When a recurring event is duplicated, supported session and recurrence information can be copied.

After duplication, review:

- Recurrence rule
- Occurrence dates
- Agenda mode
- Session dates
- Speakers
- Session times
- Locations

The copied agenda may not match the new event schedule automatically.

## Common Problems

### Occurrence Date Is Missing

Check the recurring event rule and confirm the date actually exists.

Also review excluded and additional dates.

### Wrong Agenda Appears

Check whether the event is using:

- Same agenda for all occurrences
- Different agenda per occurrence

Then verify the session's occurrence date.

### Session Appears on Every Occurrence

This can happen when the event is using the shared agenda mode.

Switch to occurrence-specific mode only if different dates genuinely need different sessions.

### Session Does Not Appear

Check:

- The session is saved.
- The occurrence date is correct.
- The recurring event includes that date.
- The event has been updated.

### Speaker Is Missing

Verify that the participant profile still exists and is correctly assigned to the session.

## Recommended Workflow

1. Configure the recurring event schedule.
2. Decide whether the agenda is shared or occurrence-specific.
3. Create speaker and performer profiles.
4. Open **Speakers & Sessions**.
5. Choose the agenda mode.
6. Create sessions.
7. Assign occurrence dates where required.
8. Assign speakers.
9. Review session ordering.
10. Preview multiple recurring occurrences on the frontend.

## Important Notes

- Configure recurrence before building occurrence-specific agendas.
- Use a shared agenda whenever the program is genuinely identical.
- Use occurrence-specific agendas only when dates differ.
- Review agendas after changing recurrence rules.
- Check excluded and additional dates carefully.
- Preview more than one occurrence before publishing.
